IRS Notices
Received an IRS Notice? A Calm, Step-by-Step Response
By HBME Tax & Accounting Team · June 29, 2026
Few pieces of mail raise the pulse like an envelope from the IRS. The good news: most notices are routine, and almost all are manageable when you respond correctly and on time. Here is how to approach it.
Don't panic — and don't ignore it. A notice is not an accusation, and many are simple requests or automated adjustments. But every notice has a deadline, and missing it can turn a small issue into a large one. Open it, note the response date, and act within the window.
Read what it actually says. Identify the notice or letter number (usually top or bottom right), the tax year in question, and precisely what the IRS is asking for — a payment, a document, a clarification, or confirmation of a change they have already made. Understanding the ask is half the battle.
Verify before you agree. The IRS is not always right. Compare the notice against your own records before accepting an adjustment or paying a balance. Sometimes the fix is simply sending a document the IRS did not have.
Be careful what you say. What you write or say in response can affect the outcome. If the notice involves a meaningful amount, an audit, or anything you don't fully understand, it is worth having a CPA review it before you reply.
Loop in your tax professional early. Your CPA can help you understand exactly what the IRS is asking, verify it against your records, and prepare an accurate, on-time response — which resolves most notices without drama.
For existing HBME clients: if a notice lands in your mailbox, send it to your HBME professional right away and we'll help you make sense of it and respond correctly. (This article is general education, not legal advice — HBME is a CPA firm, not a law firm.)
